Cash on Delivery Is Not Money in the Drawer

Thirty confirmed orders are not thirty payments. Here is how to read in-transit cash, returns, and what has actually been collected.

GoChatly Team · October 21, 2026 · 6 min read

The sheet from last night says thirty confirmed orders. The drawer does not. Some parcels are still with the rider. Some came back this afternoon with the tag still on. One was delivered, and the courier has not settled that cash with you yet. If you spend against the sheet, you spend money that is still on a bike in another district.

Cash on delivery feels like a sale at the moment the buyer says yes. It becomes money later, and only if the parcel is received and the fleet pays you.

Confirmed is not delivered

A confirmed order means the shop agreed to send it. The product, the quantity, the phone, and the total are on the record. It does not mean a rider has the packet. It does not mean the buyer will pick up the phone.

In transit is the long part. The cash is promised, and it is also at risk. A wrong road, a buyer who changed their mind, a phone that is off: any of those ends the trip. Until the status says delivered, that total is not collected cash. It is a parcel with your stock on it.

Delivered is closer. The buyer took it. The rider collected. You still may not be holding the notes. Settlement with Steadfast, Pathao, RedX, Paperfly, or CarryBee is a later step. Treating “delivered” as “in the drawer tonight” is how a shop pays a supplier with money the fleet still has.

Keep those words apart when you look at the day. Confirmed is a promise to pack. Shipped is a promise already on the road. Delivered is a promise the buyer accepted. Collected is cash you can count.

A return is not a sale

A parcel that comes back is not a quieter version of a sale. The stock may return. The courier charge for the attempt often does not. The buyer’s “yes” from Tuesday is not revenue on Friday.

GoChatly can mark an order returned, including when a courier status says the parcel came back. Returned orders stay out of the sales totals. They should stay out of the number you tell yourself you made this week. Leaving them inside “confirmed” makes a bad Thursday look like a good one, and it hides the products that are now back on the shelf with a creased box.

Cancel what should be cancelled. Return what came back. Do not leave both sitting in confirmed because the tab is where the row was born. The status is the story of the money.

Collected cash and cash that is still out

Accounts should split what you have from what is still out. Collected cash is what the courier has reported in. Pending settlement is the shipped or delivered value that has no reported collection yet. Income and shop expenses you add yourself sit beside those figures, so a packing run and a Facebook ad do not pretend to be sales.

Pending is not a failure. It is the normal wait on cash on delivery. The failure is adding pending to collected and calling the sum profit. The week’s story starts from what was collected. It does not start from thirty green rows.

Delivery fees, cash-on-delivery fees, and return penalties are amounts you type on the parcel when the fleet’s statement tells you the figures. Nothing invents them from a tracking page. They sit with the settlement so you can see what the trips cost. Read collected and pending as two numbers before you reorder stock or pay a supplier.

Why the nightly export lies

A sheet exported at 11pm freezes the statuses at 11pm. The returns of the next afternoon are absent. The settlement of the next morning is absent. Staff who update a cell by hand update it twice, differently. Next week you cannot tell which “confirmed” became a return.

An order record that changes status in the same place you booked it does not have that lag. The count of confirmed orders can fall when you cancel. The sales total can ignore returns. The accounts page can show collected and pending as two numbers, so the drawer and the road are not one number wearing two names.

Before you reorder stock, read collected cash. Before you celebrate a campaign, subtract the returns. The sheet can wait.

Do this on a Sunday, when no rider is calling. Pick ten orders from the week. For each one, say the status out loud and say whether the cash is in your hand. If you hesitate, the row is still a parcel, not a payment. Shops that do this once stop quoting the confirmed total as the week’s income. The number they tell a supplier gets smaller, and it gets true.

If the drawer and the order list tell two stories, talk to GoChatly.
